Meeting Minutes 9/29/2019

Conference Call - 7:30 PM - Sunday Sept. 29, 2019

 All 10 Board members present for call. 

 Dues collection was supported by 85.5% of 152 coaches responding to our survey.

 Bylaws authorize Board to collect dues (no Amendment needed)

 Board unanimously approved $30 as the amount of dues to be charged

 Board agreed that our 10 members will pay first before collecting from other coaches.  This will get our account going and to support a website.

 David will serve as Board Treasurer.  Heang will assist David in getting bank account set up. (First Citizens was suggested)

 Tax ID number already created when Board was started in 2006.

 Paypal and mailing checks will both be options for coaches to submit dues.

 It was suggested that the fiscal year for the Board will be October 1 to Sept 30 annually.  This would also require an Amendment to the bylaws as it states the fiscal year for the Association ends on June 30.

 Mark was nominated to serve as Board secretary and tasked with starting an Association website.

 The Board agreed that dues paying members should be listed alphabetically on the website along with their school and region.

 Eddy is going to head up researching the cost and procedures for sponsoring a hospitality room at the state tourney.

 Board agreed that Friday is the best day to offer hospitality to reach the most coaches.  Billy and Butch and Mike suggested with agreement from the Board that all coaches with wristbands would be provided with hospitality regardless of membership status.  

 Jamie is going to head up the All-Star team and All-State certificates.  

 All-Star coaches for 2020 are Billy Baker, Chris Waddell, Butch Ross, and Ron Bare.  

 Board agreed that coaches must pay dues to nominate athletes.  Only head coaches may nominate up to two individuals from their team.  Coaches may not nominate individuals from teams other than their own.  

 It was discussed that All-State recognition and certificates will go to the top 6 finishers in 2, 3, and 4A.  5th and 6th place will be designated “Honorable Mention”. Top 1-4 finishers in 1A will be designated All-State.

 Butch is going to organize the printing of the certificates.

 Billy suggested putting a watermark / image of Bob Mauldin on the All-State certificates.

 Coaches also agreed by 94.1% to expand from 10 to 12 members.  This will require an Amendment to the Association’s bylaws which must be voted on by the membership in Greensboro at the July meeting. 

 Adding non-voting regional reps to the Board was approved by a 79.6% margin.  This will also require an Amendment to the Bylaws in July.  David agreed to head up appointing regional representatives to the Board.

 We discussed coordinating Board elections at the July meeting with our proposed amendments to the bylaws.

 Heang suggested that the Board closely monitor any changes from the NCHSAA regarding classifications (if a 5th classification is added, e.g.) to be prepared to offer feedback about the administration of the state tournament if needed.

 Girls wrestling updates were provided by Chase.  He mentioned that the NCHSAA will require 100 teams (1 girl on roster will suffice as a team), to create a separate women’s division at the NCHSAA state tournament.  Teams must be created separately on Trackwrestling.  

 Also, it was questioned if sending girls and boys teams to separate events on the same date, would that count as using a split squad? Will need clarification from NCHSAA.  Girls weight classes will be regular 14 NFHS weights used by boys teams.  Tournament directors can combine them as needed. 

 We discussed the split squad rule and how it will be applied. Tra should be releasing a clarification about split squads soon.

 Heang reported that we will be resubmitting a proposal to Tra this fall to change the format of the state dual team championship. (Sat, Wed, Sat). This did not pass in 2019 due to the calendar having been set. The proposal gives flexibility in the event of inclement weather and improves hosting abilities by avoiding Tuesday basketball.
